Policies and Procedures

Deposit: A Non-refundable deposit is required in order to secure your catering event as a definite commitment and will be applied towards your final bill at full value.

Cancellation: Must be submitted in writing and sent via fax or certified mail. Your group will be assessed the following charges which are due two weeks from the date of cancellation:

50% due less than 90 days prior to the reserved date
75% due less than 60 days prior to the reserved date
100% due less than 30 days prior to the reserved date

Payments for Corporate Events: The balance of the account is due and payable upon completion of event unless credit has been established and accepted by the Hotel. Payment will then become due and payable 30 days after the function. A Service charge of one and one-half percent per month will be added to any unpaid balance over thirty days old. Payments for Non-Corporate Events: Deposit is due two weeks after confirmation and full payment is due 72 hours prior to the event with Cashiers Check only.

Guarantees: The attendance must be specified 72 hours in advance otherwise, the expected attendance listed on the contract will becomes the guarantee. Sunday and Monday guarantees must be received by 12 Noon the preceding Thursday. The Hotel will be prepared to serve 5% above the guaranteed number. A service fee will be charged if the guaranteed number of meals falls below 75% of the numbers expected less than one month prior to function.

Prices and Labor Fee: All prices are guaranteed for 90 days prior to the function. Any function booked beyond 90 days may be subject to price changes without notice, based on prevailing market costs. Prices quoted do not include current service charge & sales tax. Tax is computed on the total food, beverage and service charges. A service labor charge of $75.00 will apply for all food functions of less than 20 people.

Food and Beverages: The Hotel reserves the right to inspect and control all private parties, meetings, receptions, etc. held on the Hotel premises. All food and beverage must be purchased through the Hotel unless a corkage charge has been arranged through the Catering Department. All Federal, State and Local Laws with regard to food and beverage purchases and consumption are strictly adhered to and enforced.

The Hotel prohibits the removal of food from the Hotel premises. Any exception will be made at the discretion of the Hotel Management; in such cases the Hotel waives any liability resulting from transport, refrigeration or preparation of products once it leaves the Hotel.

Split Menu: When providing a split entree selection, the higher priced entree will prevail as the overall entree cost. In the event second entrée is required, an additional sur charge of 5.00 per person will assessed.

Room Assignment: Function rooms are assigned based on the number of persons expected. If actual attendance decreases or increases, we reserve the right to change groups to a room suitable for that number of attendees.

Room Set-up Charge: If on the day of the event, the engager changes the room set up specified on the catering contract, a minimum $75.00 labor charge will be posted to the banquet check.

Decoration: The Catering Department will be happy to assist you with your floral decorative needs at an additional fee. The Hotel will not permit the affixing of anything to walls, floor or ceiling of rooms with tacks, staples, tape or any other substance. Any signs provided by our guests must be professional quality and have management approval prior to placement. Use of birdseed, rice or confettis are not permitted.

Music and Entertainment: We would be happy to obtain musician or entertainment for you. FOG MACHINES ARE NOT PERMITTED.

The hotel reserves the right to have full control of volume levels of your group in the event the noise affects other hotel guests or groups.

Audio/Visual: Audio Visual equipment rentals are available upon request at an additional fee.

Linen: Ask our Catering Department for color selection.

Shipping & Receiving: When shipping boxes or materials in advance of your meeting, please list the name of your group, the function date and your Hotel Contact on each box of the shipment. Advance notice of shipments should be given to your Catering Manager. This will ensure the proper storage and placement of your materials in the meeting rooms. The hotel cannot accept C.O.D. shipments. Due to limited storage space, materials should arrive not more than 3 days prior to your meeting and only packages under 75 pounds will be accepted by the hotel. All other packages must be stored and handled by a drayage company.

A shipping request must be filled out for return shipment of materials or arrangements for pick-up of materials must be made by the customer prior to departure.

For more than 5 boxes, there is a handling fee of $1.00 per package per move (for standard size boxes). Oversize boxes / cartons are charged at $5.00 per box per move.

Damage and Loss: The Hotel will not assume any responsibility for the damage or loss of any articles left in the Hotel prior to, during or after your function. The Client agrees to be responsible for any damages done to the premises during the period of time the meeting /banquet rooms are under their control or under the control of any independent contractors hired by the client.

Liability: The Hotel is not liable for its failure to perform any signed contract if such failure is due to acts of God, labor problem, including but not limited to strikes, fire, flood, weather, earthquake, restriction upon travel, food, beverage, or supplies, or any other cause beyond its control or interfering with performance whether enumerated herein or not.

Security: For your safety as well as the safety of other guests, the hotel may request at any time that the client arrange and pay for bonded security personnel when valuable exhibits, props, merchandise, etc. are displayed or held overnight in the hotel. Security is required for social events.

Should the hotel or the client be required to enforce the terms of these policies and procedures, reasonable costs, including attorney’s fees, shall be recoverable.
