BANQUET/ CATERING MENU & POLICIES
All reservations and confirmation agreements along with the Banquet Event Order(s) are made upon, and subject to, the hotel rules and regulations and the following conditions:
1. CONTRACTUAL LIABILITY
Performance of this agreement is contingent upon the ability of the hotel to complete same, and is subject to labor troubles, disputes, strikes or picketing, accidents, government (federal, sate or local) requisitions; restrictions upon travel, transportation, food, beverage and supplies; and other causes, whether enumerated herein or not, which are beyond the control of management. In no event shall the Sacramento Marriott Rancho Cordova Hotel be liable for the loss of profit or other similar or dissimilar collateral or consequential damages, whether based on breach of contract, or otherwise in no event shall the hotel’s liability be in excess of the total amount of the food
and beverage contracted heretofore.
2. PAYMENT
a. All accounts must exceed $2,500.00 minimum to be allowed direct billing with approved credit. All accounts must be prepaid or an authorized credit card will be required in the estimated amount of the credit extended.
b. Payment for Corporate Events must be approved with application for credit 3 weeks prior to the group arrival. The group must bring 25 room nights or greater and/or have an estimated charges exceeding $2,500.00 for their event charges to be direct billed.
c. The direct-billed balance of accounts is due and payable upon completion of event with approved credit that has been established and accepted in writing by the hotel. Payment will then become due and payable thirty days after date of the function.
d. Non-Corporate Events: Fifty percent (50%) of estimated charges are due and payable 3 weeks prior to event and full payment is due 3 business days prior to event.
3. DEPOSIT
A deposit of 50% of the estimated revenue or as indicated on the Confirmation Agreement is required in order to secure your catering event as a definite commitment, which will be applied toward your final bill at full value. In the event that any catering function is to cancel after the indicated date on the Confirmation Agreement prior to the date of the function, the deposit shall then become property of the hotel. Further, any catering function, which cancels 20 days or less prior to the booked date will be subject to cancellation fees equal to the full rental for the particular room held and/or anticipated food and beverage revenue.
4. SERVICE CHARGE & TAX
Prices quoted do not include a 19% service charge or California State Sales Tax. Please note service charges in California are subject to sales tax. If on the day of the event, the engager changes the room set up specified on the catering contract, a minimum $50 labor charge will be posted to the check.
5. GUARANTEES
In arranging for functions, the attendance must be definitely specified and communicated in writing at least seventy-two (72) business hours in advance or the estimated number will be taken as the guaranteed number of attendance. For functions which occur on Sunday, Monday or Tuesday, the guarantee of attendance is due the preceding Thursday. This number will be considered a guarantee, not subject to reduction once provided. Charges will be made accordingly. The hotel will be prepared to serve five percent (5%) over the guarantee. All food charges are based on your guarantee of attendance or the actual number of guests serviced, whichever is greater. (Int’l) _______
6. CATERING / BANQUET CHECKS
Banquet checks will be presented to and approved by the person in charge of the event, or his/her representative. Any discrepancy in the billing must be resolved at this time
7. FOOD AND BEVERAGES
All prices are guaranteed for 90 days prior to the function. Any function booked beyond 90 days may be subject to price changes without notice, based on prevailing market costs. When providing a split entrée selection, the higher priced entrée will prevail as the overall entrée cost. Bringing food or beverage of any kind into the hotel by the customer, or by any of the customer’s guests or invitees will not be permitted. It is the policy of the hotel, due to health safety issues, not to permit prepared food to leave the facility under any circumstances.
8. DAMAGE
Customer agrees to be responsible for any damage done to the premises or any other part of the hotel, during the period of time the customer, his guests, invitees, employees, independent contractors or other agents are under customer’s control, or the control of any independent contractor hired by the customer. All independent contractors performing services in the hotel must have prior written approval, which may be obtained, through the catering office.
9. LOST AND FOUND
The Sacramento Marriott Rancho Cordova Hotel will not assume any responsibility for damages or loss of any merchandise or articles left in the hotel prior to, during or following customer’s functions.
10. FUNCTION ROOMS
The guarantee minimum number of people anticipated determines the assigned function rooms. Room rental fees are applicable if group attendance drops below estimated attendance at time of booking. We reserve the right to change groups to a room suitable for the attendance if attendance changes. Maximum seating as set by the fire codes are strictly adhered
to at this property
11. AUDIO VISUAL MEETING ROOM REQUIREMENTS
Audiovisual equipment and special lighting requirements are available with advance request and charged at prevailing rates. Rental prices subject to a service charge and sales tax. Each meeting room is equipped with one telephone with in-house capabilities. Any additional requirements must be prearranged through the catering office.
12. SIGNS AND DISPLAYS
A minimal amount of pre-approved signage is permitted in the function rooms. Signs displayed directly outside function rooms should be freestanding or on an easel. No tacks, nails or adhesives are to be used to affix a sign to the wall. The hotel will assist in placing all signs. Depending upon labor and equipment involved, a charge for services may apply. All signs are to be pre-approved by the catering department. No signs are allowed in lobby areas.
13. SHIPPING AND RECEIVING
Packages for meetings may be delivered to the Sacramento Marriott Rancho Cordova Hotel three working days prior to the meeting date with notification and approval from your catering manager. When packaged materials need to be picked up by an outside freight carrier, it is the client’s responsibility to contact said freight carrier and properly pack and label all boxes. A service charge for display cases, crates, pallets or deliveries with
more than 6 boxes, will apply.
14. ADDITIONAL CHARGES
Any event requiring a dance floor will result in a $125.00 rental fee unless sold in a package. Any event requiring cake cutting services will result in a $1.00 per person charge. There will be an additional charge to groups allowing additional guests joining a party for dancing. The group will incur additional cleaning charges when rice or confetti is brought onto premises for celebrations. Arrangements for additional meeting space must be made at least 24 hours prior to the function.
