Complimentary Overnight stay for the Bride & Groom
A complimentary deluxe sleeping room with a bridal amenity will be provided for the bride and groom on their wedding night. Please note that this is based on the hotel’s availability at the time of your wedding.

Complimentary Personalized Wedding Website
Each customizable wedding web page has its’ own URL address and contains details about the wedding, the hotel, sleeping room rates, photos, itineraries, etc. Your guests can make their sleeping room reservations right on the site! They can also check the weather and be linked to local attractions.

Please review the enclosed menu selections. These are just a starting point. All of our menus may be customized to further meet your needs.

Seating & Service
Seating and service for all meal functions is based upon banquet round tables of 10 guests.  Our white glove service standard is one waitperson for every 20 guests for plated meals and one per 30 guests for buffet service. One banquet captain for every function and one bartender for every 75 guests will be provided. Charges for additional servers required are $35 per hour per server.

Wedding Cakes
We recommend Nona’s Sweet’s for a large variety of beautifully decorated cakes.  Please discuss options with your catering manager. Cake cutting & service fees for outside cakes brought in from other vendors are $2.50 per person.

Centerpieces, Decorations & Linens
The hotel provides Ivory banquet linens and napkins as our standard for all events.  A wide variety of specialty linens and napkins are available from our preferred vendor Party Reflections for a fee. The hotel provides a hurricane glass with tapered candle or as our standard banquet centerpiece.  Specialty centerpieces and floral arrangements can be purchased from our preferred florist, The Blossom Shop.  Specialty props and theme decorations are available from our preferred decorator Extravaganza Props & Events.  Our catering and event managers work closely with our preferred vendors and can provide you with a list of options and suggestions to help you create a very memorable event. Chair covers and Garage parking passes are available.  Please consult with your Wedding Specialist on options and cost.

All signage, banners, displays and decorations are subject to the approval of the Hilton Charlotte Center City and the City of Charlotte Fire Department. The hotel will not allow the affixing of any materials to the walls, floors or ceilings with nails, staples or adhesives. Any costs to repair damaged hotel property as a result of self-installation will be added to your final bill. The hotel must hang all banners required at a service fee of $50 per banner. A $250 cleaning fee will be added to the bill if excessive cleaning of the function room is required as a result of the use of confetti, glitter or potpourri. Billing with our preferred vendors can be added to your hotel Master Account.

Coat Check
A coat check attendant can be provided upon request at $75 per attendant with a 4-hour minimum and $25 per hour after 4 hours.

Cash Bar
There will be a charge of $75 per bartender and $18 per cashier per hour with a 3-hour minimum for cash bar service. One bar, one bartender and one cashier will be provided for every 100 guests. Bartender fees will be waived for each bar that achieves minimum sales of $500.

Additional Parking Options
Convenient self-parking is available in numerous lots surrounding the hotel. The 1079 space Wachovia covered parking garage connected to our hotel is not owned or operated by the hotel. The hotel also provides valet parking for up to 75 cars. Current parking charges are as follows:

Amenities
Our culinary team can create VIP amenities for your guests, such as tuxedo strawberries or an international cheese platter with Fruit Mélange. We would be happy to deliver amenities brought in by you for your guests for a nominal fee of $2.00 per guest room.

Food & Beverage
All food items served on the hotel premises must be supplied and prepared by the hotels culinary department.  The Hilton Charlotte Center City as a licensee of the North Carolina Department of Alcoholic Beverage Control is solely responsible for the administration of sales and service of all alcoholic beverages served on our premises, as such, all liquor, beer and wine must be supplied by the hotel and consumed on the hotels premises.  Alcoholic beverage service may be denied to any guests who appear to be intoxicated or under North Carolina’s legal age of 21 years.  In accordance with North Carolina State Law no alcoholic beverages can be served after 2:00 am or before 12noon on Sundays.

Menu Selections & Prices
Menu selections are required 21 days prior to your scheduled function and custom design Food & beverage prices are subject to change based upon market price fluctuations.  Prices and menu selections are only guaranteed as confirmed in the final banquet event order.  In the event of emergencies, Acts of God or other events outside our reasonable control that interrupt our food & beverage deliveries or normal availability of product the hotel reserves the right to make appropriate substitutions to your food and beverage selections. *We request that special diet requirements are ordered in advance.

Deposits & Payments
We require that you pay a deposit of 25% of the estimated dollar value of the event when you sign a contract with us. You will be responsible to pay the entire contract price in cash or by certified check at least three business days prior to your event. If you prefer, all charges can be paid by credit card. Hilton accepts American Express, Diners Club, Discover Card, JCB International, Master Card or Visa. Credit card must be provided to the hotel 30 days prior to event date.

Guaranteed Guest Counts
The hotel must be notified 72 business hours prior to your event with your final menu count guarantees to allow sufficient time to order food and schedule service staff. To avoid performance fees, your final guaranteed menu counts must be 80% or higher of your originally contracted expected attendance.  If no final guarantee is provided then the initial contracted expected attendance will be used as your guaranteed count.  Final charges will be billed at your guaranteed guest count or on the actual number of guests served, whichever number is larger.  The hotel will set-up for and be prepared to serve food for up to 5% over your guaranteed number of guests if required.

Function Room Assignments & Outdoor Events
The hotel reserves the right to move an event to rooms other than those appearing on the banquet event order should there be a significant increase or decrease in the number of guests.  If a change from the original assigned room is required on the day of the function a labor charge will be added to the banquet check.  The hotel reserves the right to make the final decision regarding scheduled outdoor events.  The decision to move a function scheduled outdoors to an indoor location will be made by 2pm on the day of the event, based upon prevailing weather conditions and the local forecast.  Any client decision to keep a function outdoors that would require a move-in with less than four hours notice will be assessed a labor charge of $5.00 per person or a $400.00 minimum charge.

Guest Room Accommodations  for your Family and friends
We would be pleased to assist you with a reserved block of 10 or more sleeping rooms for your out of town guests at a special preferred rate. Our 400 deluxe rooms feature 42”plasma screen monitors, marble tile showers and Hilton’s famous “Sweet dreams Beds”. For an additional fee upgrade to our luxurious private access Executive floor rooms with access to our Executive lounge providing daily morning continental breakfast and evening hors d’oeuvres. Please discuss your guests sleeping rooms needs with your
Social Catering Sales Specialist.

Security
The hotel shall not assume responsibility for the damage or loss of any merchandise or articles left in the hotel prior to or following any event, banquet or meeting.  Any item left in the hotel following an event, where the guests has indicated the intent to pick-up and remove such items, will be held by the hotel for 24 hours after the event.  After such time the hotel may at its discretion discard or destroy all materials or items left with the exception of personal valuables which will be deposited in the hotels lost and found office, where items are held on file for 90 days.  The hotel reserves the right to inspect and control all functions held on our premises and may require the customer to obtain and pay for bonded security personnel if deemed necessary, for the safety and security of hotel guests.  Armed security personnel are not permitted on hotel property. Based upon your specific security requirements the hotel may be able to provide hotel security officers at a fee of $25 per hour with a 4-hour minimum.
