Convention & Catering Services

Please provide your room setup, audio-visual and catering requirements (including menu choices) to the Hilton Catering Sales Office no later than 30 days prior to the first scheduled event. Guarantees on menu availability and pricing cannot be made after that time.  Our menus are offered as suggestions; your Hilton representative will be more than happy to create specialty menus to suit your particular event.

A signed Banquet Event Order(s) must be on file in the Catering Sales Office 10 working days prior to the event date, otherwise a 21% surcharge will apply to all food, beverage and rental fees.

No leftover food or beverages shall be taken from the premises. At the conclusion of the event, such food becomes the property of the hotel.

GUARANTEES

Attendance for all food events must be guaranteed by 12:00 Noon three (3) working days prior to the first event day for events with 499 guests or less.  You will be charged for your guarantee or actual meal count, whichever is greater. For events with 500 people in attendance or greater, a 5 working day guarantee is required, also by 12:00 Noon.

Hilton Austin Airport will prepare 5% over the guarantee for plated, sit down meals or buffet meals only, up to a total of 25 meals. Menus for these meals will be at the discretion of Hilton Austin Airport and are normally
prepared as vegetarian.

The aforementioned time frames are strictly enforced and it is the client’s responsibility to send a written guarantee to the Catering Sales Office (via facsimile 512.385.6763) by specified times. Otherwise, the estimated attendance will be used as the guarantee and charged accordingly.

COAT CHECK SUMMARY

Client (or guest) will be charged $1.50 per coat or bag checked.  No purses or laptop computers will be accepted.  Attendant fee of $25.00 per attendant, per hour (four hour minimum) will be waived with coat check revenue of $50.00 per hour, per attendant.

CANCELLATION POLICY

Should a cancellation occur between 0 and 90 days prior to the event, the client will be required to pay 100% of the estimated revenue, based on banquet revenue, meeting room rental and guest room revenue. 

Should a cancellation occur from 91 – 180 days prior to the event, the client will be required to pay 50% of all estimated revenue.

Should a cancellation occur 181 or more days prior to the event, the client will be required to pay 25% of all estimated revenue.

SERVICE AND LABOR CHARGES

All room rental and menu items are subject to service charge (currently 21%) and applicable  taxes. 

While on the premises during your event, any changes/additions with food and beverage, or the pre-arranged set up of these events, will be subject to additional charges that will be determined at the time of the requested change.

MISCELLANEOUS

Minimum food and beverage expenditures will apply on all private social functions. Additional labor charges may be incurred on all Nationally observed major holidays. Hilton Austin Airport may deem the need for security, at the expense of the client, with 10 days notice.

No outside food/beverage may be brought into meeting space, unless prior written approval from hotel has been acquired.



Meet Executive Chef Jason Roberts

Chef Jason Roberts began his culinary career at the age of 18 at a small eclectic cafe. It was at this cafe that jason found his passion for the culinary arts. From there Jason moved to Austin to attend culinary school where he had the opportunity to study under French and German Master Chefs. After graduating in 1996 he has continuously developed his skills working in restaurants, fine dining establishments, full service catering, country clubs and hotels. Chef Jason joined the Hilton team in 2004 where he has redefined the expectations of the food and beverage department.
