
Our menus feature a selection of our most popular items. These are suggestions, and we would be delighted to arrange banquet menus to suite your particular requirements. In order to assure you and your guests a well organized function, we encourage you to read the following policies and discuss any clarifications with our Catering Department.
A minimum of 20 persons is required or a labor charge of $35.00 will be assessed. A bartender charge of $50.00 will be assessed on each Banquet Bar when sales do not exceed $300.00.
The final minimum guaranteed count of the number of guests in attendance is required 72 business hours in advance of the function. The number will be considered your minimum guarantee. This number can be increased, however it cannot be decreased. The Doubletree Guest Suites Hotel will prepare 5% above the guarantee. If we do not receive a guarantee number of attendees 72 hours in advance, the expected number of attendees will prevail.
An 18% service charge will be added to all food and beverage charges. State sales tax will be added to all service charges, food, beverages, audio/visual and room rentals. Please note that the service charge is taxable.
Full payment shall be made upon completion of the function unless credit has been established to the satisfaction of the Hotel. Accounts are due and payable thirty (30) days after the date of the function. Deposits are non-refundable. Function rooms will not be reserved on a tentative or definite basis if a deposit or credit authorization has not been received by the Hotel within seventy-two (72) business hours.
No food of any kind will be permitted to be brought into or taken out of the Hotel by the Patron or any of the Patrons' guests. The Doubletree Guest Suites is the only licensee to sell and serve liquor, beer and wine on the premises. Bringing alcoholic beverages into the Hotel is against the law in the State of Arizona. Arizona State Law prohibits the service of alcoholic beverages to any person under the age of 21. For all functions, the bar must close by 12:30am and the room must be vacated by 1:00am.
Function rooms are assigned at the time of booking. However, the hotel reserves the right to reassign specific function space provided the revised space adequately accommodates your function requirements. 24-hour holds on meeting space require approval by hotel.
All displays or exhibits, if any, must conform to the City Code fire ordinance rules. The Hotel will not permit the affixing of anything to the walls, floors or ceilings of the rooms with nails, staples, tape or any substance unless approval is given by the Catering Department in writing. In the event this is done without our authorization and any damage is suffered, the cost of repair and/or replacement will be billed to the Patron.
The Hotel will not be responsible for the damage or loss of any merchandise
or articles left in any function room.
All special equipment and service can be arranged through our Catering Department. For your convenience, we do provide full audio/visual service. Audio Visual equipment charges will appear on your banquet check.
When shipping material to the hotel, please label all packages and boxes with your Hotel Representatives name, the function name and dates of function. Any freight and shipping charges incurred remain the sole responsibility
of the Hotel guest.
Security remains the sole judgment of the Doubletree Guest Suites Hotel. When warranted, the hotel shall provide, at the guest expanse, a minimum of one security guard per 75 attendees.
